Administrative Assistant

Contract Opportunity

Location: Portland, OR (Locals only)

This oil and gas company explores, produces and transports crude oil and natural gas; refines, markets and distributes fuels and other energy products; manufactures and sells petrochemical products; generates power; and develops future energy resources, including biofuels and geothermal energy.


The main function of the executive assistant role is to provide high-level executive & administrative support to multiple Unit Managers and their units within our Technical Computing Organization, by conducting research, handling information requests and performing clerical functions (essentially acts as both an information and communication manager for specific units within the office).

Job Responsibilities:

  • Provides administrative support for WLP chiefly through procurement of materials and services, service contract administration and payroll
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • The ability to organize and work effectively to ensure all administrative work is prioritized effectively
  • Provide assistance with a high level of independence, initiative, discretion, and accuracy, and attention to detail to ensure smooth and efficient operations
  • The ability to organize and work effectively to ensure all administrative work is prioritized effectively
  • Manages contractor expenses
  • Manages procurement of non-additive materials and services
  • Time Administrator for all WLP employees
  • Time Data Recorder for all WLP O&M employees
  • Maintains accurate records of Capital Expenditures
  • Contract Administration
  • Key Log administrator
  • Monthly utility reporting
  • Security gate monitoring
  • SAP guidance to co-workers and management team
  • Buyer
  • Relief Dispatcher

Required Qualifications:

  • High School Diploma or GED
  • At least 2+ years of administrative assistant experience
  • At least 2+ years of timekeeping experience
  • Proficient with Microsoft Office Applications (Excel, Word, Outlook, and PowerPoint)
  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills
  • Proven ability to work independently, effectively manage multiple priorities, and quickly adapt to new business requirements or rapidly changing needs
  • Ability to keep information organized and confidential

Preferred Qualifications:

  • Previous experience in oil and gas
  • Managing of projects
  • Associate degree
