Document Controller

Contract Opportunity

Location: Houston, TX


Document Control Summary:

The document controller will work within a multi functional team to maintain the integrity of documents as they are transmitted between each of the sites and the EP Contractors. The document controller will also assist with naming of files, requesting drawings from the sites, and assisting the engineering staff with closeout and turnover at the completion of the projects.

Key Responsibilities:

  • Process, add/update (document transmittal, receipt, classification, distribution, etc.) all official electronic (including engineering/technical, correspondence, business management, commercial, legal) generated by COMPANY to be maintained in the Document Management System
  • Accountable for the reliability, irretrievability, quality control and traceability of the project data.
  • Ensure that each applicable metadata field such as, but not limited to; number, title, revision, status, etc. in accordance to COMPANY specifications and is accurately updated and maintained in each Master Deliverables Register
  • Prepare and implement squad checking documentation in accordance with procedure and distribution matrix
  • Responsible for access request and reviews for team members on all IM Systems
  • Develop and maintain the Document Review & Approval Matrix (DRAM) in collaboration with the Project/Operations team
  • Evaluate, manage, and comply with COMPANY Document Control processes, procedures, and specifications to ensure accurate records of all Project/Operations official documentation generated by the COMPANY, the CONTRACTOR or its Vendors; suggest improvements for evaluation where applicable
  • Troubleshoot & provide level 1 end-user support for all IM systems (DMS, Collaboration, etc.) and import data including but not limited to advising users as they correct inaccurate and/or missing data. Assist with end-user training as needed
  • Network with other Company Document Controllers in other locations to ensure consistency of training, processes and enforcement of document control procedures.
  • Receive, send and expedite all documents between groups/organizations, making appropriate log entries for tracking purposes.
  • Provision of accurate and up to date document review, receipt and issue information to Projects/Operations team.
  • Maintain accurate file structure for all documentation.

Required Qualifications:

  • High School diploma or GED
  • 5+ years of previous Document Control experience for Major Capital Project, large construction projects or project portfolio.
  • Proficient knowledge of Microsoft Word, Excel, and Outlook
  • Experience with, and comprehension of, transmittals and correspondence management
  • Must have a methodical and well-organized approach to the work environment
  • Promote a professional and customer service-oriented atmosphere, establish team building rapport with internal and external recipients
  • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills
  • Proven ability to work independently, effectively manage multiple priorities, and quickly adapt to new business requirements or rapidly changing needs
  • Demonstrated follow through on assigned actions

Preferred Qualifications:

  • Experience with Coreworx
  • Experience with Enterprise Bridge
  • Experience with SharePoint
  • Associate degree
